== Scope and content note (verbatim excerpt, pp. 1-2) == housed at the Library of Congress with a few exceptions. Records relating to speakers before 1932 are newspaper accounts of speeches given to the National Press Club before the committee and the luncheon speaker series were established. Within the paper records, folders have been organized in chronological order, with the name of the speaker and the date on each folder. For earlier years, there are sometimes folders with general Committee records. Included in these folders are calendars of speakers, membership of the Speakers Committee and the Board of Governors, and letters to the Committee or between Committee members. These folders are placed at the start of a given year, before any January folders. Transcripts or prepared speeches can be found in some of the folders, however, regular transcription service didn’t begin until 1996 under Federal News Service. Audio and video collections are housed separate from the paper materials. Each audio tape and video tape are given an accession number and cataloged separately as part of the Speakers Committee. Corresponding transcripts can be found in the paper files. Photographs are also housed separate from the paper records. They are housed in alphabetical order by the speaker’s last name. Collection Scope and Content Note Paper materials for these records are made up of regular paper and onionskin sheets. A separate photograph, audio, and video collection are also maintained for this collection. Each folder has any combination of items related to the speaker including full transcripts (beginning in 1996), seating charts, invitation lists, question and answer cards, correspondence, biographical material and photographs. The terms and a definition of items found in the collection are below: • Full transcript/complete transcript: A verbatim transcript of a complete National Press Club luncheon event, including introduction of the speaker, the actual speech, and the question and answer period after the formal speech. These were made for every event beginning in 1996. • Q & A: The question and answer period that concludes National Press Club luncheon speaker events. These may include the question cards distributed to attendees. • Advanced text: The prepared remarks of a luncheon speaker, many times issued in a press release format. These are the expected remarks of the speaker, but he or she may deviate from those exact words. This is NOT a verbatim transcript. • Head table material: Lists and notes regarding the makeup of the head table for a particular luncheon. The head table usually includes Club members (focusing on board members and speakers committee members) and contemporaries and family of the speaker. • Protocol material: Usually included with foreign dignitaries, the material comes from the State Department. It includes proper spelling and pronunciation of names, and correct forms of address.

• Biographical material: Also usually from the State Department for foreign dignitaries, this has short biographies of the speaker and his or her entourage. This material can also include State Department descriptions of a speaker’s home country. • Speaker’s schedule: This is a schedule of events and movements of foreign dignitaries who are staying in Washington for multiple days and are including a National Press Club appearance in their visit. This schedule is provided by the State Department. • Letters: Letters in this series can be invitations to speak at the National Press Club and the speaker’s reply, invitations to attend a luncheon, invitations to sit at the head table, and other communications finalizing plans for that particular day, including telegrams. If only one letter is in the folder, it is listed as “letter.” • Luncheon announcement: A card announcing the speaker, date and time of the luncheon, cost, and the phone numbers to reserve a seat. These cards were an additional way to promote National Press Club luncheons.
